Using Microsoft Teams
Microsoft Teams is Acura Embedded Systems' primary platform for internal collaboration, communication, and online meetings. As an Inside Sales professional, mastering its functionalities is essential for seamless teamwork, efficient information access, and successful online engagements with leads.
This section will guide you through the key aspects of using Microsoft Teams effectively, from scheduling meetings to finding files and communicating with your colleagues.
1. Navigating Microsoft Teams: Your Workspace Overview
When you open Microsoft Teams, you'll see several key areas on the left-hand navigation bar:
Activity: Your personal feed of notifications (mentions, replies, reactions).
Chat: For one-on-one and group conversations.
Teams: Where your different project teams and departments are organized.
Calendar: For managing your schedule and meetings.
Calls: For making direct calls to colleagues.
Files: A central place to access all your shared files.
2. Communicating with Colleagues: Chat and Teams
Effective internal communication is vital for quick answers and collaboration.
Chat for Quick Conversations:
One-on-One: Click on "Chat" and then the "New Chat" icon (often a square with a pen) to start a conversation with a single colleague. Type their name, and you can begin typing messages, attach files, or make a quick audio/video call.
Group Chats: You can create group chats for specific projects or small teams. Click "New Chat" and add multiple names.
Best Practice: Use chat for quick questions, sharing links, or informal discussions.
Teams for Structured Collaboration:
Channels: Within each "Team" (e.g., "Sales Department," "Marketing Team"), you'll find "Channels." Channels are dedicated sections for specific topics, projects, or departments.
Posts: Use the "Posts" tab within a channel for broader discussions, announcements, or questions relevant to the entire channel. This keeps conversations organized by topic.
Best Practice: Use Teams channels for ongoing project discussions, sharing updates with the whole group, or collaborating on shared documents. This keeps conversations transparent and searchable for everyone in the team.
3. Scheduling and Joining Meetings: Your Virtual Meeting Room
As 99% of your external meetings are online, primarily via Teams, knowing how to schedule and manage them is crucial.
The Calendar: Your Meeting Hub
The "Calendar" tab on the left-hand navigation is your central hub for managing all your meetings, both internal and external.
Viewing Your Schedule: You can see your daily, weekly, or monthly schedule, including all meetings you've been invited to or have scheduled yourself.
Managing Appointments: The calendar allows you to accept, decline, or propose new times for meeting invitations. You can also quickly see who is attending a meeting and access meeting chats.
Scheduling a Meeting (Internal or External):
Go to "Calendar" on the left-hand rail.
Click "New Meeting" in the top right corner.
Add Title: Give your meeting a clear and concise title (e.g., "Acura Solution Discussion with [Lead Company]").
Add Required Attendees: Type in the email addresses of all participants, including your leads (external emails are fine).
Set Date and Time: Choose the appropriate date and time. You can also set recurring meetings if needed.
Add Details: In the description box, include your meeting agenda and any relevant notes. This helps set expectations for attendees. You can also add a specific channel if it's an internal team meeting.
Send: Click "Send." The meeting invitation will be sent to all attendees, and a meeting link will be automatically generated.
Joining a Meeting:
From your "Calendar" in Teams, find the meeting.
Click "Join."
Before joining, you'll see a preview screen. Always check your camera and microphone settings here. Ensure your camera is on (if appropriate for the meeting) and your microphone is working.
Click "Join now."
During the Meeting (Key Features):
Camera On: For external meetings, always have your camera on (unless there's a technical issue or explicit instruction not to). This builds rapport and professionalism.
Microphone Mute/Unmute: Mute your microphone when not speaking to avoid background noise. Unmute when it's your turn to talk.
Share Screen: Use the "Share Content" button (often an arrow in a box) to share your PowerPoint presentation, product videos, or any other relevant visuals. Remember to select the correct window or screen to share.
Chat: Use the meeting chat for sharing links, contact information, or answering quick questions without interrupting the speaker.
4. Finding and Sharing Files: Your Digital Filing Cabinet
Teams provides integrated file storage, making it easy to share and collaborate on documents.
Files Tab in Channels:
Every channel in a Team has a "Files" tab. This is where documents relevant to that specific topic or project are stored.
How to Use: Click on the "Files" tab within a channel to see all shared documents. You can upload new files, create new documents (Word, Excel, PowerPoint), and open/edit existing ones directly within Teams or in their respective applications.
Files App (Personal & Shared):
The "Files" app on your left-hand rail shows you all your recent files, files shared in your chats, and cloud storage files (like OneDrive).
Best Practice: When sharing files with colleagues for collaboration, always upload them to the relevant "Files" tab within a Team channel. This ensures everyone has access to the latest version and the files are organized by topic. For quick, temporary sharing with one or two people, chat attachments are fine.
5. Additional Useful Features for Inside Sales
Status Messages: Set your status (Available, Busy, Do Not Disturb) and add a custom message (e.g., "In a meeting until 2 PM EST") to manage expectations.
Mentions (@): Use "@" followed by a colleague's name in a chat or channel to directly notify them.
Search Bar: The search bar at the top of Teams is incredibly powerful. You can search for messages, files, people, and specific conversations across all your Teams and chats. This is vital for finding past discussions or documents related to a lead.
Pinning Chats/Channels: Pin frequently used chats or channels to the top of your list for quick access.
By effectively utilizing Microsoft Teams, you'll streamline your internal workflows, enhance your communication with colleagues, and conduct professional, impactful online meetings that drive Acura's sales success.
